Company-hosted hospitalities are a popular activity at the GPA Midstream Convention, and space must be booked through GPA Midstream for suites and public space. The deadline to request hospitality space for the 2023 convention is July 10 at 5 p.m. Central Standard Time. Space assignments will be communicated by July 17.
2023 Hospitality Registration
Please note the fee structure for hospitalities:
For assigned spaces less than 1,000 sq. ft. — $400*
For assigned spaces 1,000 – 2,500 sq. ft. — $550*
For assigned spaces more than 2,500 sq. ft. — $700*
Private Suites — $250**
*This fee is for space only; beverages, food, entertainment, etc., is incremental.
**GPA Midstream collects this fee; company hosting a hospitality in a private suite is also responsible for covering the hotel’s per-night suite fee, in addition to beverages, food and entertainment.
Public hospitalities are held on Tuesday night of the convention in conference-level rooms. Public space comes in a variety of sizes, from small conference rooms to large ballrooms.
For companies interested in public space (available Tuesday night only), the online request form will ask for your best guess on square footage needed for your event and the estimated number of people you expect in the room at any given time. We also ask whether you intend to host a live band during your event, which will help us attempt not to place two bands next to each other. GPA Midstream takes information from all requests once the request form closes. Applying for hospitality space will not guarantee that a company will receive space, nor should companies expect to receive the same amount of space as awarded in a previous year. Companies applying for space are strongly encouraged to withhold from making deposits on entertainment, displays, etc., until they know exactly how much space has been allotted. The suite spaces will be held in the sleeping section of the Marriott Rivercenter. For companies interested in reserving a suite, the online request form will ask for your suite choices in order of preference (top three).
Applying for hospitality space will not guarantee that a company will receive space, nor should companies expect to receive the same type of suite as awarded in a previous year. Companies applying for suites are strongly encouraged to withhold from making deposits on entertainment, displays, etc., until they know exactly what suite has been allotted. Payment for hospitality space is due when you receive your space assignment.
All company representatives attending or working a hospitality, regardless of the extent or duration of their participation in other convention activities, must be registered for the GPA Midstream Convention to participate.
Applying for hospitality space will not guarantee that a company will receive space, nor should companies expect to receive the same amount of space or the same type of suite as awarded in a previous year. Companies applying for space are strongly encouraged to withhold from making deposits on bands, displays, etc., until they know exactly how much space has been allotted.
Hospitalities are not considered to be GPA Midstream Convention sponsorships, so logo recognition given to sponsors does not apply to companies hosting hospitalities. Companies are limited to one logo and one company name (no taglines, marketing-related verbiage or related business units may be included in the name listing) in the GPA Midstream app and one company name in the hospitality brochure.
Hospitalities cannot conflict with scheduled convention functions and may not start before 7:30 p.m. on Sunday, 6:30 p.m. on Monday or 7:00 p.m. on Tuesday.
Signs advertising hospitalities may be placed outside the room door, but not in lobbies or hallways. Signs not adhering to placement restrictions will be removed.
The hospitality cost paid to GPA Midstream is for space only. Companies must work directly with the hotel for needs other than the provided space (electrical, setup, cleanup, waste baskets, finger foods, desserts, etc.) at additional costs.
Companies failing to adhere to the posted policies are subject to forfeiture of their exhibit space without a refund.
Hospitality hosts are responsible for providing app information to GPA Midstream by the deadline communicated. No information will be accepted after the deadline.
GPA Midstream has the right to cancel any company’s hospitality at its sole discretion.
